Job Summary

Manage and optimize daily site operations for condominiums, collaborating with management and contractors to deliver efficient maintenance and development services while ensuring compliance with regulatory standards and client requirements.

Responsibilities

  • Lead and oversee day-to-day site operations to ensure smooth and efficient facility management
  • Collaborate with the Condominium Manager and headquarters to support and enhance daily operational activities
  • Conduct on-site inspections and monitor development works performed by appointed contractors to ensure quality and compliance
  • Engage and coordinate with service providers to manage repairs and maintenance as directed by clients, ensuring timely and effective service delivery
  • Generate and manage Purchase Orders, tracking client-approved works to maintain accurate financial records
  • Follow up with service providers to obtain monthly maintenance schedules, quotations, claims, and invoices for processing
  • Organize and participate in meetings, preparing detailed minutes and reports to document discussions and action items
  • Respond promptly and professionally to residents feedback, maintaining a customer service-oriented approach
  • Prepare and submit annual budgets to support financial planning and resource allocation
  • Ensure strict compliance with the Building Maintenance and Strata Management Act (BMSMA), relevant laws, government regulations, and company policies
  • Assist in preparing documentation and proposals for extraordinary works as directed to support project approvals and execution

Required competencies and certifications

  • Higher NITEC or Diploma in Estate Management
  • Minimum of 2 years of relevant experience in estate or facilities management

Preferred competencies and qualifications

  • Demonstrated ability to communicate and negotiate effectively with diverse stakeholders to achieve operational goals
  • Proven skills in managing multiple tasks under pressure while prioritizing time efficiently to meet deadlines
  • Experience in engaging and managing relationships with contractors, service providers, and residents with a customer service mindset
