Job Summary
Operate and maintain office IT hardware and software to support project teams. Manage project data entry, document control, and reporting to ensure smooth workflows and data security in a fast-paced environment.
Responsibilities
- Operate and monitor computers, printers, scanners, and other office hardware to ensure continuous site or project office functionality.
- Troubleshoot basic hardware and software issues and escalate unresolved problems to the IT team to minimize downtime.
- Enter and update project-related data such as material records, labor details, purchase orders, and subcontractor information into company databases or ERP systems for accurate record-keeping.
- Maintain and back up project files including drawings, BOQs, approvals, and daily reports to ensure data continuity and recovery capability.
- Prepare and format daily and weekly reports on site progress, material consumption, and attendance using MS Office tools (Word, Excel) for clear communication.
- Print, scan, digitize, and organize important documents such as payment vouchers, approvals, and drawings in shared folders or cloud drives for easy retrieval.
- Assist site engineers, quantity surveyors, and project managers by creating presentations, emails, and formatted technical documents to support project communication.
- Manage soft-copy records for tenders, variations, and correspondence to enable quick access by engineering and commercial teams.
- Maintain login access, password control, and implement basic data security practices to protect project information integrity.
- Ensure software applications including Office, accounting, and project-tracking tools are updated and functioning to prevent workflow disruptions.
Required competencies and certifications
- Degree or Diploma in Information Technology, Computer Science, or related field.
- 10+ years of hands-on experience in IT operations or Command Center environment.
- Proficiency with IT systems such as Mainframe, AS/400, UNIX/Linux, Windows, and Mac.
- Working experience with Microsoft Office applications (Excel, Word, PowerPoint).
- Fluency in spoken and written English to communicate effectively with project teams.
- Ability to work collaboratively in a team and maintain composure under pressure.
- Willingness to work 12-hour rotating shifts following a structured pattern to support continuous operations.
