Company Overview

JR East Business Development (JR-SEABD) is the Singaporean local business arm of East Japan Railway Company (JR-East). Its mission is to enhance customers lifestyles in Southeast Asia through JR-East's lifestyle business expertise.

In line with this mission, we operate One&Co, a coworking space and business platform that bridges local and Japanese business communities to create opportunities, connections, and innovation through our network.

We also operate Japan Rail Cafe, a base for sharing information about Japan, and JAPAN RAIL CLUB, a membership organization for Japan fans. In addition, JR-SEABD contributes to the local community by introducing Japanese retail, food and beverage products and brands from various regions of Japan, together with Japan tourism information and JR-East's EKINAKA (In-station) concept.

Job Summary

The Community & Events Associate supports the day-to-day operations and member experience at One&Co, helping to maintain a welcoming, professional, and well-organized coworking environment.

The role involves regular interaction with members and visitors, responding to enquiries, maintaining the shared spaces, and supporting the smooth running of events held at One&Co. For events, the role is primarily focused on on-site operational support, including setup, maintaining the lounge during the event, cleaning, and teardown.

Responsibilities

Community & Member Experience

  1. . Welcome and engage with members, guests, and visitors in a friendly and professional manner
  2. . Build positive relationships with members and provide assistance with their day-to-day needs
  3. . Respond to member enquiries and concerns promptly and courteously
  4. . Proactively engage with members and contribute to a welcoming community environment
  5. . Monitor the overall member experience and report feedback or issues to the Assistant Manager
  6. . Assist in maintaining a comfortable, professional, and well-organized coworking environment

Daily Coworking Operations

  1. . Conduct daily checks of the coworking space, including the lounge, meeting rooms, pantry, and common areas
  2. . Ensure shared spaces are clean, tidy, and properly arranged throughout the day
  3. . Manage meeting room bookings and assist members with room-related enquiries
  4. . Coordinate incoming mail and package deliveries for members
  5. . Assist with basic troubleshooting of equipment such as printers, Wi-Fi, coffee machines, and meeting room equipment
  6. . Monitor supplies and facilities and report maintenance or operational issues promptly
  7. . Respond to phone calls, emails, and general enquiries
  8. . Assist with basic administrative tasks, documentation, and financial transactions when required

Event Support

  1. . Assist with the setup of the lounge and event space before events
  2. . Arrange tables, chairs, equipment, signage, and other items according to the event requirements
  3. . Support the team with on-site event operations while the event is taking place
  4. . Monitor the lounge and shared areas during events to ensure they remain clean, tidy, and presentable
  5. . Assist with cleaning and replenishing supplies during or after events when required
  6. . Support the teardown of event spaces and return the lounge to its usual condition after events
  7. . Assist with other event-related operational tasks as directed by the Assistant Manager

Administrative & Team Support

  1. . Organize paperwork and maintain operational documentation
  2. . Process basic financial transactions accurately when required
  3. . Report operational updates, member feedback, and issues clearly to the Assistant Manager
  4. . Work collaboratively with the team to support the smooth daily operation of One&Co
  5. . Assist with other operational tasks and projects as required

Required Competencies and Qualifications

  1. . Communicate clearly in English to support effective interaction with members, visitors, and partners
  2. . Apply customer service skills to handle member interactions professionally and courteously
  3. . Friendly, approachable, and comfortable interacting with people from different backgrounds
  4. . Good organizational and time-management skills
  5. . Proactive and willing to take initiative in daily operations
  6. . Able to work in a fast-paced environment and manage multiple tasks
  7. . Good attention to detail, particularly when maintaining shared spaces and supporting events
  8. . Use Microsoft Office tools such as Excel, Word, and PowerPoint for basic documentation and communication
  9. . Collaborate cooperatively with team members with a positive and adaptable attitude
  10. . Physically able to assist with event setup, moving tables and chairs, and teardown when required

Preferred Competencies and Qualifications

  1. . Japanese language skills to support communication with Japanese-speaking members and partners
  2. . Previous experience in coworking, hospitality, customer service, facilities, or similar roles
  3. . Experience supporting events or operating event spaces
  4. . Interest in Japanese culture, business, or the Japan-Singapore business community

Key Information

Working Days: 2-4 days per week. Tuesday and Friday are preferred working days to support regular daily operations. Additional weekday shifts may be scheduled depending on operational needs.

Event Support: Events are generally held on weekday evenings and occasionally on weekends. The Associate may be required to support these events. At least 3-4 weeks advance notice will be provided for scheduled event shifts.

Working Hours:

Monday to Friday
. Opening shift: 08:30am - 5:30pm
. Closing shift: 09:30am - 6:30pm

Events - Weekdays and/or Weekends
. Weekday events: Event shifts are required from 6:30pm onwards, depending on event requirements.
. Weekend events: Event shifts may be required, with working hours varying depending on the event schedule and requirements.
. Regular working hours: 16-32 hours per week, depending on operational and event requirements.

Hourly Salary:

. Regular shifts: SGD 17 per hour + SGD 2 transportation allowance per working day

. Weekday evening or weekend event shifts: SGD 20 per hour + SGD 2 transportation allowance per working day
