The Health Promotion Board is seeking an experienced Clinic Manager to oversee the operations of our counselling clinic for vaping cessation. This role requires a dynamic leader who can manage clinic operations whilst ensuring compliance with the operational requirements and delivering effective cessation support services.
Key Responsibilities
Ensure adherence to clinic operational protocols and standard operating procedures
Manage clinic supplies and facilities to maintain optimal service delivery standards
Oversee clinic capacity management and monitor wait times to ensure efficient patient flow
Handle registration of attendees on arrival and manage queue systems effectively
Coordinate with counsellors and support staff to ensure seamless clinic operations
Prepare and manage D-day attendees listings for scheduled appointments
Handle clinic administrative matters including patient documentation and correspondence
Complete end-of-day closing reports and attendance updates
Monitor clinic performance metrics and analyse operational data for continuous improvement
Handle escalated cases requiring specialised support
Prepare monthly clinic operations reports for management
Prepare monthly submission reports to other government agencies as required
Ensure adherence to Health Promotion Board VOCC operating policies
Contribute to workflow and operational improvement initiatives to enhance service efficiency
Lead, supervise, and mentor clinic staff including counsellors, administrative personnel, and support workers
Conduct performance reviews, identify training needs, and facilitate professional development opportunities
Foster a supportive team environment focused on patient-centred care and evidence-based practice
Implement quality improvement initiatives to enhance patient experience and treatment outcomes
[What we are looking for]
Requirements
Minimum 3-5 years of experience in clinic management
Preferably background in healthcare administration, business management, public health, or related field
Demonstrated experience in managing multidisciplinary teams
Skills and Competencies
Strong leadership and people management capabilities
Excellent organisational and project management skills
Proficiency in healthcare information systems and data management
Outstanding communication skills in English proficiency in local languages advantageous
Ability to work with diverse populations, including individuals with addiction issues
Strong problem-solving abilities and capacity to work under pressure
Experience in preparing detailed operational reports
Empathetic approach to working with individuals facing addiction challenges
High level of integrity and ability to handle sensitive information confidentially
Attention to detail for administrative and reporting responsibilities
