RESPONSIBILITIES
- Responsible for student admission and discharge matters (e.g., registration, updates, submissions, documentation, invoicing etc.)
- Maintain and update staff and students records and files (e.g., staff numbers, student enrolment, staff & student attendance etc.)
- Preparation and submission of staff/student documents, information, reports and records to relevant agencies (e.g., on attendance, enrolment, financial assistance regularly)
- Collection of school fees and related banking matters
- Assist with correspondence with parents, caregivers and/or other agencies
- Attend to students and parents/caregivers and handle simple matters and queries
- Assist with any other duties/tasks assigned by School Leaders or Admin Manager
- Perform basic book-keeping and accounting duties (e.g., for petty cash, debit card, vouchers, accounts receivable/payable, fixed assets)
- Assist with procurement matters, delivery and acceptance of goods and services
- Process purchases, invoices and claims
- Perform banking-related functions
- Assist with any other duties/tasks assigned by School Leaders or Admin Manager
- Compilation/collation of data and data entry
- Preparation and submission of data, information and reports to internal (e.g., MINDS HQ) and external agencies (e.g., MOE, MSF, NCSS etc.)
- Handle incoming/outgoing correspondences (e.g., distributing office mails, document despatch etc.) and dissemination of information to internal and external agencies
- Manage, maintain and update office files, documents, records and forms
- Perform general admin tasks and functions such as postal mailing, photocopying, scanning and laminating etc.
- Answer phone calls and handle general enquiries
- Assist colleagues where necessary and with other general administrative duties/tasks assigned by School Leaders or Admin Manager
- Manage and maintain office equipment, inventories, stationery and supplies
- Issuance of supplies, groceries, office stationery to staff and general workers and liaison with suppliers
QUALIFICATIONSOTHER INFORMATION- At least 3 years of general administrative experience. Candidates with basic accounting qualifications/background and experience with administrative duties in a school setting will be an advantage
- Ability to work independently as well as part of a team
- Good interpersonal and communication skills
- Strong organization, time management and multi-tasking skills
- Great attention to details with a positive attitude
