We are looking for a proactive and detail-oriented Business Support Executive to manage and streamline daily office operations, facilities, and administrative processes to ensure smooth running of the IEL office.

Key Responsibilities

Office Operations & Facilities

  • Manage office licenses, vendor coordination, asset tracking, and inventory.
  • Manage mail distribution, and office supplies.
  • Oversee office safety management.
  • Oversee facility-related contracts to ensure service quality and compliance.
  • Manage leaserelated communications, building and maintenance matters.

Administrative & Secretariat Support

  • Support coordination and scheduling of board/business meetings
  • Support recruitment job postings, interviews scheduling, and onboarding briefings.
  • Support audits, prepare required documents, and follow up on actions.
  • Assist with regular finance transactions/claims.
  • Handle issuance and return of laptops, passes, keys, and access rights.
  • Organise welfare events and activities

Project & Procurement Support

  • Work with Project Managers and Finance on documentation, billing, expenditure tracking, and job closures.
  • Manage procurement processes including Purchase Order (PO) creation, vendor liaison, invoice processing, and credit card reconciliation.

Requirements

  • Diploma in any discipline. Training in Business Administration is a plus.
  • 2-4 years experience in office administration, facilities, or operations.
  • Strong organisational, communication, and problemsolving skills.
  • Proficient in Microsoft Office. Having SAP and/or procurement/finance system experience is a plus.
