Job Description

Duties & Responsibilities

1. Provide administrative support to executives, including managing calendars, scheduling meetings, and preparing presentations.

2. Assist in the preparation of weekly/monthly reports, proposals, and other business documents.

3. Keep track of customer agreements and contracts.

4. Manage office supplies and ensure the office environment is organized and efficient.

5. Handle confidential information and maintain a high level of discretion.

6. Assist Group HR with onboarding/offboarding new employees and coordinating training sessions for YYST.

7. Liaise with clients, vendors, and partners to ensure smooth communication and collaboration, if required.

8. Support the sales team with event planning and execution.

9. Sourcing for products and services to support the sales team.

10. Raise purchase orders, invoices, sales orders, quotations when required.

11. Ensure Concept Showroom is kept in order and equipment are functioning.

12. Manage YYST company assets and ensure stocks tally on record.

13. Follow up on Maintenance/License/Contract renewals.

Job Qualifications

1. Bachelor's degree in Business Administration or a related field.

2. Proven experience as a Business Assistant, Executive Assistant, or similar role.

3. Strong organizational and time management skills.

4. Excellent written and verbal communication skills.

5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

6. Ability to handle multiple tasks and prioritize effectively.

7. High level of discretion and integrity in handling sensitive information.

8. Familiarity with the cybersecurity industry is a plus.
