Introduction To The Role

The Business Admin & Operations role serves as the operational backbone of the Regional Digital Sales (RDS) team within the Consumer Marketing Officer (CMO) Digital Direct Sales (DDS) organization. This position ensures smooth day-to-day operations, supports leadership effectiveness, and drives process efficiency across global regions (Asia, EMEA, and the US) in a fast-paced, evolving environment.

The role is pivotal in maintaining the effectiveness of the Leadership Team (LT) through operational planning, rhythm management, and business coordination. It also includes executive administrative responsibilities, such as worldwide calendar management, global meeting coordination, and event logistics.

The ideal candidate has strong organizational and project management skills, thrives under ambiguity, and brings experience in cross-time zone collaboration. Proven ability to leverage AI tools for efficiency and workflow optimization is highly desirable.

Key Responsibilities

Business Operations

  • Support the readiness and execution of business processes, ensuring efficient management and integration across the global DDS organization.
  • Coordinate and improve the Rhythm of Business (ROB), partnering with cross-functional stakeholders to ensure predictability and alignment.
  • Manage monthly budget tracking, purchase order (PO) processes, and financial documentation in partnership with the EA team.

Leadership and Organizational Support

  • Maintain and enhance the effectiveness of the RDS Leadership Team by managing global meetings, agendas, and decision-tracking processes.
  • Support organizational health by coordinating team engagement, morale, and recognition programs.
  • Assist with employee experience initiatives, including awards, marketing spotlights, celebrations, and recognition events.

Communications and Content

  • Assist in drafting and formatting team communications, newsletters, executive messages, and presentations.
  • Manage stakeholder alignment and content readiness for leadership meetings and all-hands sessions.
  • Identify and implement cross-team process and communication improvements.

Executive Administration

  • Manage worldwide calendar scheduling for senior leaders and global leads.
  • Coordinate logistics for global meetings, workshops, and events.
  • Ensure accuracy, clarity, and timeliness in all executive communications and deliverables.

AI-Driven Efficiency

  • Apply AI tools and automation to streamline workflows, reduce manual effort, and enhance productivity across business and admin operations.

Requirements

  • Bachelor's degree in a relevant field with 6+ years experience in Project/Program Management, Business Operations, or Business Planning.
  • Proven experience working in regional or global roles, preferably within large multinational or technology environments.
  • Strong planning, organization, and cross-time zone coordination skills.
  • Excellent oral and written communication, presentation, and stakeholder management abilities.
  • Ability to manage multiple priorities independently in a fast-paced, high-change environment.
  • High integrity, sound judgment, and discretion in handling confidential information.
  • Advanced proficiency with Microsoft tools (PowerPoint, Excel, Teams, SharePoint) and familiarity with AI tools for productivity.
  • Formal training or certification in project/process management, operations, or communications preferred.

Must-Have Skills

  • Demonstrated project/program management experience at a regional or global scale.
  • Strong crosstime zone coordination and orchestration skills.
  • Excellent command of English, with understanding of US and EMEA communication nuances.
  • Structured, detail-oriented, and highly adaptable to constant change.
  • Experience managing tight business rhythms with precision and predictability.
  • Proven ability to use AI tools and automation to drive efficiency and process improvement.
