The Role
We are looking for an enthusiastic, proactive, and detail-oriented Bookkeeping and Administration Executive to provide comprehensive operational and financial support to our Landscape and Architectural team.

Key Responsibilities

  1. Financial Management & Accounts Receivable: Lead all bookkeeping functions (Xero) including payroll, invoicing, and expense tracking. A primary focus is Accounts Receivable management-building and maintaining professional relationships with global clients to ensure timely payments and resolve billing queries.
  2. HR & Compliance: Manage HR administration, including recruitment coordination, employment contracts, and leave management. Maintain accurate employee records and handle statutory requirements.
  3. Project Support: Assist the team in writing project fee proposals and managing contract variations. Ensure project billing schedules are tracked accurately against budgets.
  4. Operations & Executive Support: Manage office logistics, procurement, and maintenance schedules (AC, cleaning, equipment). Handle document organization, travel planning, and filing for the senior team.
  5. Marketing Coordination: Assist in maintaining the firm's digital presence by updating the company portfolio, website, and social media pages.

Requirements

  • Good bookkeeping knowledge and experience (proficiency in Xero is highly preferred).
  • Experience in managing Singapore work pass applications (WP, SP, EP) and navigating relevant HR portals and government platforms.
  • Good Microsoft Office skills (specifically Excel, Word, and Outlook).
  • Strong verbal and written English skills, with the ability to build rapport with international clients.
  • Highly organized with a positive attitude able to work independently and manage multiple deadlines in a fast-paced environment.
  • Understanding of social media platforms for marketing purposes is a plus.
