Key Responsibilities
1. Tender & Bid Management
- Manage the full bid lifecycle from tender invitation to submission, including clarifications and post-submission follow-ups.
- Review tender documents, specifications, and contractual requirements to identify scope, risks, and compliance items.
- Prepare and manage tender schedules, ensuring all deadlines are met.
2. Proposal & Documentation Preparation
- Coordinate and compile technical, commercial, and administrative documents for tenders.
- Draft and structure proposal narratives, method statements, manpower deployment plans, and compliance matrices.
- Ensure all submissions meet client formats, authority requirements, and internal approval protocols.
3. Cross-Functional Coordination
- Liaise with Operations, EHS, Procurement, Finance, and Sales to gather inputs such as:
- Manpower and deployment plans
- Costing and pricing breakdowns
- Safety, quality, and operational methodologies, etc
- Follow up with internal stakeholders to ensure timely and accurate inputs.
4. Pricing & Costing Support
- Assist in preparing cost models and pricing summaries based on operational requirements.
- Coordinate with Finance and Operations to ensure pricing accuracy and commercial viability.
- Support management in scenario analysis and pricing adjustments during tender negotiations.
5. Compliance & Risk Control
- Ensure all bids comply with tender conditions, contractual clauses, and statutory requirements.
- Highlight contractual, operational, or commercial risks for management review.
- Maintain proper version control and audit trails for all tender documents.
6. Systems & Records Management
- Maintain organized records of submitted tenders, quotations, and supporting documents.
7. Post-Tender & Award Support
- Assist with tender interviews, presentations, and clarifications.
- Support handover to Operations upon award, ensuring scope, pricing, and obligations are clearly communicated.
- Participate in post-tender reviews to improve future bid quality and success rates.
Requirements & Qualifications
- Diploma in Business, Engineering, Facilities Management, or related discipline.
- 1-3 years of experience in bid management, tender coordination, or sales support.
- Strong attention to detail and ability to manage multiple tenders concurrently.
- Proficient in Microsoft Office (Excel, Word, PowerPoint) familiarity with tender portals and internal management systems is an advantage.
- Good communication and stakeholder management skills.
- Ability to work under tight deadlines in a structured and methodical manner.
