Job Responsibilities


1. Support pre-Board shareholder approval processes
Assist in coordinating the preparation of materials for pre-Board shareholder review. This includes gathering inputs from relevant departments, consolidating documentation for submission, tracking review progress, and helping communicate Board resolution outcomes. Provide follow-up support to ensure actions are implemented as directed.

2. Assist in maintaining corporate governance processes and delegation frameworks
Provide support in the upkeep of the Group's governance structures. Responsibilities include assisting in the drafting, updating, and formatting of policies, procedures, and institutional documents under guidance from senior team members.

3. Coordinate shareholder communication and engagements
Support the delivery of key notices and updates to shareholders. Assist in organizing site visits, research trips, and management interactions for shareholder entities. Act as an administrative coordination point to facilitate timely information sharing and smooth communication.

4. Secretariat support for the Executive Committee and Group CEO Committee
Provide administrative and secretarial support for committee operations. Responsibilities include scheduling meetings, preparing agendas, coordinating materials, taking meeting minutes, and maintaining proper filing and record management.

5. Support execution of strategic initiatives
Assist the Executive Office team, Executive Committee, and CEO in monitoring progress of key strategic priorities. Help track milestones, prepare progress updates, and support cross-functional coordination required to advance core initiatives.

Job Requirements:

  • 0-3 years of work experience in corporate governance, corporate secretariat, strategy, project management, or a similar executive support function.
  • Bachelor's degree in Business Administration, Finance, Public Policy, Corporate Governance, or a related field.

Technical & Professional Skills

  • Strong organizational skills with the ability to manage multiple deliverables, track deadlines, and maintain high attention to detail.
  • Good understanding of corporate governance concepts or willingness to learn quickly.
  • Effective documentation and writing skills, including the ability to prepare clear meeting minutes, summaries, and policy drafts.
  • Analytical skills, including the ability to consolidate information from various sources and present it clearly.

Communication & Stakeholder Management

  • Professional communication skills, including handling sensitive information and interacting with senior stakeholders with poise.
  • Ability to work collaboratively with cross-functional teams and external parties, including shareholder representatives.
  • Strong interpersonal skills and the ability to build cooperative working relationships.

Execution & Delivery

  • Proactive, resourceful, and able to work independently with basic guidance.
  • Strong sense of responsibility and ownership over assigned tasks.
  • Ability to maintain confidentiality and discretion, especially with Board- and shareholder-related materials.
