Job Description

The Purchasing Associate will support our procurement function, managing the purchasing of goods and services essential to dailyoperations. This includes timely processing of purchase orders and invoices, assisting with vendor sourcing, and ensuring compliancewith procurement standards.In addition, the role will contribute to our ERP system implementation, focusing on User Acceptance Testing (UAT) across corefinance modules. Working closely with Business Process Owners (BPOs) and the technical vendor, you will validate end-to-endprocesses-particularly general ledger and grant reporting-to ensure accuracy, compliance, and readiness for system launch.

You will need to:

  • Invoice & PO Processing: Handle supplier invoices, process purchase orders, ensure accuracy in documentation and system entries
  • Vendor Sourcing & Support: Assist internal departments in identifying and sourcing reliable vendors
  • Clerical Support: Maintain organized records and support documentation flow across procurement activities.
  • Data migration validation: Review and validate data mapping templates to ensure legacy data fields (e.g., Chart of Accounts, Vendor Masters, Grant IDs) align correctly with new ERP's structure.
  • Data migration TB Reconciliation: Perform Before and After reconciliations.
  • Data migration review: Conduct sample testing on migrated Open Items (unpaid invoices, unclosed POs) to ensure no loss of transactional detail during the Cut-over phase.
  • Process mapping: Update SOPs based on the as-built system configurations discovered during testing.
  • Ad-hoc Assignments: Assist with other administrative or operational tasks as assigned.

Qualifications

You should:

  • Possess a Diploma or equivalent in Business Administration, supply chain or related field
  • Strong attention to detail and organizational skills
  • Possess strong negotiation and communication skills
  • Self-drive, independent and problem solver

It would be great if you:

  • Prior experience in procurement or administrative support preferred
  • Knowledge of eProcurement systems
  • Proficient in Google workspace
