Position Overview

This role provides day-to-day computerized maintenance management system (CMMS) support to the Maintenance Planner within a biotechnology manufacturing environment. The position acts as a key liaison between managers, system supervisors, quality assurance, engineers, and maintenance/craft team leaders on all matters relating to Work Order and Job Plan processes, documentation, and training. The individual will be responsible for administering the CMMS database, facilitating work order workflows, and ensuring documentation accuracy and completeness across maintenance, repair, and modification activities.

Key Responsibilities

  • Act as liaison between managers, supervisors, QA, engineers, and maintenance/craft leaders on Work Order and Job Plan processes, documentation, and training
  • Administer, execute database entries, and maintain the CMMS database for applicable areas
  • Facilitate Work Order processing to ensure timely and orderly flow via CMMS workflow
  • Review Work Order completion documentation, attachments, signatures, and dates; follow up for clarification or completion as needed; correct work types as appropriate
  • Review Job Plan documentation, attachments, signatures, and dates; follow up for clarification or completion as needed
  • Process job plans per specified procedures; maintain documentation of all maintenance, repairs, and modifications to equipment, systems, and facilities per the work order SOP
  • Handle job plan processing including email notifications, follow-ups, securing signatures, updating job plan records, and editorial review of draft job plans
  • Manage system access creation/modification/review, outage support, data preparation, and data integrity checks/rectification
  • Assist with generation of PM work orders as required
  • Perform other tasks as assigned by supervisor/manager

Required Qualifications


  • Polytechnic diploma or equivalent
  • Direct experience in the Bio/Pharma industry
  • Relevant experience in administration and/or supervision within a manufacturing, maintenance, facilities, engineering, construction, or similar environment, including substantial use and administration of computerized information tracking systems (or equivalent combination of education and experience)
  • Experience working with CMMS systems such as Maximo, SAP, EAMS, or similar
  • Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint; familiarity with MS Project, SQL, and Excel Macros
  • Demonstrated ability to manage complex data
  • Strong organizational, customer service, and communication skills
  • Excellent problem-solving ability across functional units
  • Strong interpersonal skills across all levels
  • Ability to independently understand, follow, and implement complex instructions
  • Ability to perform effectively under minimal supervision within established regulations and guidelines
