Job Responsibilities
Thrive in both digital and physical environment, support the full spectrum of learning and organizational development activities, including administration work and any other HR activities, as follows:
Learning Management System
- Administer and maintenance of the learning management system to ensure compliance to corporate guidelines, such as user licensing, usage reporting, user profiles creation, user rights administration, cohorts and courses configuration, etc.
- Training the region on the operations of the platform and creation of new online courses.
- Create online HR-related training contents and work closely with internal stakeholders for contents development and to ensure employees participation.
- Work closely with external partners to ensure smooth operations of the system such as fault management and escalation of issues and change requests, as well as any enhancements to the system.
- Be the LMS champion for the region on any related queries.
Learning and Organizational Development
- Co-ordinate and administer the duties for Leadership Academy.
- Maintain the training records and training costs of the company, ensuring claims are duly submitted and training budgets effectively managed.
- Ensure prompt reporting to ecoTrack on companys energy consumption.
- Handle the ISO documentation as well as involve in internal and external ISO audit.
- Maintain the HR Chatbot and involve in project-based work and/or change projects.
- Provide support in administration and coordination of both in-house programs and external training activities, working closely with internal and external training partners.
Employee Relations, Engagement and Employer Branding
- Handle employee onboarding process, including completion of required paperwork, welcoming new hire and conducting new hire orientation.
- Handle all clearance for employment offboarding.
- Prepare monthly manpower reporting and official surveys such as manpower survey, compensation survey, engagement survey, etc.
- Design and develop organizations pulse survey.
- Organize and coordinate employee communication session, employee engagement activities as well as social and staff recreation programs / events.
- Partake and present in employee communication session on L&D and HR activities and initiatives.
- Support & participate in Companys CSR initiatives.
- Prepare and post contents in companys social media platform such as LinkedIn.
General Administration & Other HR Duties
- Liaise with building management on building maintenance.
- Assist in freight arrangement.
- Manage and administer office stationery and pantry supplies.
- Manage companys contracts on expiry and renewal.
- Ensure prompt and accurate update of employment data in all HR systems, including but not limited to payroll, CPF and tax.
- Provide benefits and claims administration of medical, dental, insurance, etc.
- Perform any other ad-hoc duties and projects as assigned.
Requirements
- An independent, resourceful, outgoing personality, a team player and someone who possesses a high level of integrity.
- Possesses a positive, learning-oriented attitude with a commitment to personal and professional development.
- Familiarity with generative AI tools, particularly hands-on experience using ChatGPT for day-to-day tasks or productivity enhancement.
- Degree in Business Administration, Human Resources Management, or other related disciplines.
- Knowledge of Moodle, H5P, and SurveyGizmo is preferred.
- Prior experience with HRIS system is preferred.
- Strong operational knowledge in a relevant industry will be advantageous.
- Ability to multi-task and adapt in a demanding and fast paced environment.
- Excellent communication, presentation and problem-solving skills.
- Possess strong computer skills (MS Office, Canva) and digital knowledge.
