The Associate Executive will be on part-time contract, serving as a primary point of direct administrative contact for the department. The hired staff will be responsible providing full spectrum of administrative support as assigned under Department of Dermatology.
Job Description:
Provide Admin Support for Dermatology Service
- Support Dermatology HOD calendar
- Coordinates administrative functions and enforces hospital policy for the Service in coordination with all associated departments, provides administrative support and direction to the Service.
- Supports the implementation of the operational processes of the Service.
- Establishes, updates, and maintains all files, inventories, and records in the Service.
- Takes on projects as and when required.
- Participates in hospital initiatives and activities when assigned.
- Performs any other job-related duties as assigned by Division.
Supporting clinical admin for KKH Vascular Anomalies (VA) Multi-disciplinary Clinics
- Assists with rostering of the clinical team for each VA clinic with local and overseas patients.
- Arranging clinic appointments, sending reminders and follow up documentation with Patients and Caregivers.
- Working closely to provides coordination and serves as resource person / liaison with other divisions/departments/services/other healthcare institutions or external parties.
- Plans, coordinates and assists clinical education and training for VA patients.
- Provides patient education and counselling and to maintain patient resource library.
- Assist clinicians to organize monthly combined VA meetings, assist with organizing patient summaries, scans and investigation results
- Assist department research coordinators to recruit patients for VA research studies.
- Identify areas for service improvement and prioritises services towards achieving hospital goals.
Job Requirement:
- Diploma holder with at least 4 years experience or Higher NITEC / NITEC / GCE with 10 years experience with demonstrated competency.
- Preferably with prior experience working under healthcare setting will be advantageous.
- Good interpersonal skills.
- Ability to work as a team as well as independently in fastpaced environment.
- Ability to communicate effectively, both orally and in writing.
- Ability to gather data, compile information, and prepare reports.
- Skills in organizing resources and establishing priorities.
- Skills in the use of personal computers and related software applications (e.g Intermediate computer skills for Microsoft Office WORD, EXCEL and Power Point).
