Job Description:

  • Serve as a Receptionist, greets, directs and gives non-professional factual information to patients and relative.
  • Assist the nurse in tracing patient's blood result and CXR report through ECLIPSYS-Sunrise
  • Assist in traffic control of patients and relative by directing them to the correct counter.
  • Communicate patient's requests to Staff Nurse when needed.
  • Keys in the Appointment data entry for next day TCU.
  • Arrange discharged case notes for H/A to dispatch to appropriate Clinic for next day's appointment.
  • Assist to arrange ad-hoc appointment for patient.
  • Check and maintain and ensure availability and adequate office supplies.
  • Raising of purchase requisition as required
  • Ordering of patient's snack according to needs.
  • Handle internal and external enquiries. Give appropriate advice, direct calls to appropriate department and personnel.
  • Attend to incoming faxes.
  • Maintain confidentiality of information at all times.
  • Maintain proper filing of circulars and minutes of meeting.
  • Coordinate the distribution of minutes and reports.
  • Coordinate and provide all clerical functions related to Day Surgery:
  • Assist Nurses in checking and tracing case notes process.
  • Ensures pre-operative case notes are arranged neatly according to surgery dates.
  • Maintain proper records of case notes movement daily.
  • Assist Nurses to trace any blood and investigations test results.
  • Ensure pre-operative case notes are arranged accordingly to OT sessions.
  • Ensure abnormal ECG for Anaesthetist review are sent to Operating theatre.
  • Liaise or fax to Anaesthetists any abnormal ECG and results when necessary
  • Assign anaesthetist as per surgical need
  • Support and coordinate department's TRS (Temperature Recording System) record.
  • Report any faults to Facility Management Department and follow up that jobs are completed
  • Perform any other duties as assigned by Supervisor.
  • Filling and ordering of consumables/ implants used
  • Ensure tidiness and cleanliness of the work station
  • Ensure a safe and pleasant working environment according to workplace safety and health regulations.
  • Attend yearly fire safety awareness talk and be responsible with emergency procedures.
  • Ensure consumables/ implants are not stock out for surgical use.
  • Performs and practices Standard Precaution at all times.
  • Attends Infection Control seminar.
  • Work harmoniously with team members to facilitate safe practices.
  • Participate in SNEC activities
  • Attends staff meetings
  • Attends Continuing Education training regularly

Job Requirements:

  • Diploma or Higher Nitec/ GCE N/ O / A level
  • Experience in procurement role will be a great advantage
  • Proficient in Microsoft Office suite (Excel, Word, PowerPoint)
