Job Description
Are you highly organised, responsible, customer-focused, and confident in managing daily business operations independently
LVL Music is seeking a proactive and service-oriented Assistant Shop Manager to oversee the daily operations of our established music academy and musical instrument shop. This is a pivotal position within our company. You will be trusted to take ownership of routine centre operations, coordinate with team members, and act as the primary person-in-charge when management is unavailable.
We value initiative, accountability, and a strong service mindset more than musical instrument knowledge.
Key Responsibilities
1. Customer Service & Communication
- Inquiry Management: Respond promptly to customer enquiries through WhatsApp, email, phone, and in-person visits.
- Service Guidance: Assist clients with music lessons, instrument purchases, rentals, repairs, and general enquiries.
- Resolution Ownership: Handle customer complaints professionally and resolve routine issues independently.
- Relationship Building: Proactively follow up on outstanding requests to maintain positive relationships with existing customers.
2. Daily Operations & Administration
- Centre Oversight: Manage daily operations to ensure smooth workflows and act as the designated person-in-charge when management is out of the office.
- Logistics & Scheduling: Coordinate music lesson schedules, teacher appointments, customer visits, and room bookings.
- Documentation: Prepare invoices, track payment records, and manage instrument rental agreements (renewals, returns, and system updates).
- Order Fulfilment: Process online orders, coordinating the required packing, deliveries, and customer collections.
3. Inventory & Stock Management
- Stock Audits: Conduct regular stocktaking, inventory counts, and update product quantities accurately in the computerised business system.
- Supplier Coordination: Manage incoming stock shipments, track supplier deliveries, and report any stock discrepancies to management.
- Merchandising: Ensure retail displays, storage areas, and the overall centre environment are kept organised and presentable.
4. Team Coordination & Support
- Internal Alignment: Coordinate closely with sales staff, music teachers, and management to ensure seamless daily schedules.
- Sales Collaboration: Support the Sales & Business Development team with order processing, quotations, and administrative arrangements.
- Workflow Optimisation: Take the initiative to suggest and implement improvements for workflows, customer service, and overall operational efficiency.
Who We Are Looking For
- Experience: At least 2 years of relevant experience in retail operations, administration, customer service, or a similar supervisory role.
- Skills: Excellent organisational, multitasking, and system skills. Comfortable using WhatsApp, email, Microsoft Excel, and computerised business systems.
- Communication: Confident, professional, and friendly written and verbal communication style.
- Mindset: A reliable team player who can work independently, take complete ownership of tasks, and make sound decisions without constant supervision.
- Industry: Experience in a music school or retail hub is an advantage, but not essential.
