About The Role
As Assistant Operations Manager, you will oversee core administrative workflows, support transcript production and finalization, and help maintain operational efficiency across the business. You will work closely with Operations Managers, Project Management, and other internal stakeholders to ensure requests are handled promptly, documentation is accurate, and processes continue to run effectively. This role is well suited to someone who enjoys hands-on coordination, takes ownership of their work, and is always looking for ways to improve workflow and service delivery.
What You Will Be Doing
- Oversee administrative operations for the Singapore Court Reporting business and help ensure workflows are managed efficiently and consistently.
- Support and guide administrative staff in the coordination of transcription production and transcript finalization, with a strong focus on accuracy, quality, and timeliness.
- Respond to client requests promptly and professionally, ensuring clear communication and reliable follow-through.
- Coordinate with internal teams and external stakeholders to support smooth service delivery and day-to-day operational needs.
- Maintain accurate data entry, records, and operational documentation across internal systems.
- Oversee invoice preparation and billing administration, ensuring accuracy and completeness of financial documentation.
- Prepare and consolidate management and client reports in a timely and accurate manner.
- Support compliance with internal policies, client requirements, and relevant regulatory standards.
- Participate in user acceptance testing and provide practical feedback to support improvements in systems and workflows.
- Monitor administrative processes and identify opportunities to improve efficiency, consistency, and operational resilience.
- Provide hands-on support during peak periods, urgent requests, or changing business priorities to maintain continuity of service.
What We Are Looking For
- Diploma or Degree in Business Administration, Management, or a related discipline.
- At least 5 years of relevant experience in operations, administration, or service delivery support.
- Strong organizational skills with excellent attention to detail and accuracy.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong communication skills and confidence in dealing with clients, internal teams, and external stakeholders.
- Proficiency in Microsoft Office and familiarity with data entry, document management, CRM, or ERP platforms.
- A proactive, solutions-oriented mindset with a focus on continuous improvement.
- Experience supervising or guiding administrative staff would be an advantage.
- Willingness to support occasional business needs outside standard office hours, in accordance with local employment regulations and business requirements.
