Job Description

Key Responsibilities

Operational & Facilities Management (Primary - 80%)

  • Support preventive maintenance planning and track completion of service requests to ensure uninterrupted operations.
  • Coordinate with vendors and contractors to ensure timely resolution of facilities and maintenance issues.
  • Assist with procurement documentation, quotations and compliance checks in line with organisational policies.
  • Participate in facilities improvement projects and operational initiatives to enhance efficiency and safety.
  • Support investigation and documentation of incidents, near-misses and operational risks.

Compliance, Safety & Risk Management

  • Maintain accurate and up-to-date documentation to support compliance with MOH, SCDF, NEA, PUB and other regulatory requirements.
  • Support business continuity and risk management measures, including infection control, fire safety and workplace safety preparedness.
  • Assist in audit processes and ensure follow-up actions are completed in a timely manner.

People & Stakeholder Management

  • Supervise and support operations staff, ensuring adherence to SOPs and service standards.
  • Monitor team performance and provide inputs for staff appraisals, coaching and development discussions.
  • Collaborate closely with internal stakeholders and management to ensure operational alignment.

Management Support & Ad-Hoc Duties (Secondary - 20%)

  • Provide operational and facilities support to other centres when required.
  • Deputise for the Operations Manager in meetings or discussions as assigned.
  • Undertake additional operational tasks or projects as directed by the Operations Manager or Head of Operations.

Key Performance Indicators (KPIs)

Success in this role will be measured by clear, outcome-based targets, including:

  • High completion rates for preventive maintenance and service requests within agreed SLAs
  • Zero major regulatory non-compliance and accurate compliance documentation
  • Timely incident reporting and regular safety and infection control drills
  • Strong vendor performance and adherence to response timelines
  • Full and timely completion of staff appraisals and consistent SOP adherence
  • Active participation in improvement projects and cross-centre support initiatives
