The Assistant Manager (Operations, Safety and Health) serves as the College's primary focal point for Workplace Safety and Health, ensuring full compliance with NTU's Safety & Health Management System (SHMS) and WSH regulations, while fostering a proactive safety culture across CCDS. The role leads safety governance activities including risk assessment, audits, compliance monitoring, and safety committee coordination, ensuring that documentation, reporting, and corrective actions are maintained to the highest standard.
Alongside this, the role oversees the smooth and compliant functioning of the College's general office and day-to-day administrative operations, including facilities management, procurement goods receipt, and asset management - contributing to an efficient, well-governed, and safe working environment for all College staff, researchers, and students.
Key Responsibilities:
Safety & Health (Primary focus) - Serve as the College's Safety Coordinator - running the Safety & Health Committee, maintaining all safety documentation (risk assessments, SOPs, legal registers), coordinating audits and drills, tracking corrective actions, and promoting a safety-conscious culture across CCDS.
Governance & Compliance - Act as the focal point for compliance matters, keeping documentation and registers current, coordinating internal reviews and audits, and ensuring timely reporting to NTU's central Office of Health and Safety.
Operations & Administration - Oversee general office functions including facilities, space management, records, and staff access administration. Also serves as the College's Goods Receipt Officer - verifying procurement invoices and maintaining asset records in Ariba/SAP.
Strategic & Secretariat Support - Provide administrative support to senior management, covering secretariat duties for the College Management Committee (agenda, minutes, follow-ups), and coordinating communications across college leadership and central NTU offices.
Requirements:
Bachelor's degree in business, management, or related field.
3-5 years in executive support, compliance, or project management higher education experience preferred.
Understanding of compliance frameworks, WSH, PDPA, and data governance.
Strong administrative, documentation, and audit coordination skills.
Meticulous, proactive, ethical, and able to manage multiple priorities.
Excellent interpersonal and communication skills able to prepare reports and briefings.
Familiarity with OHS regulations, DGP/PDPA compliance, risk management, and audit standards.
Experience in maintaining compliance records and ensuring audit readiness, and coordinating large-scale events such as convocation ceremonies.
