The Assistant Manager, Ocean Operations oversees and coordinates ocean freight forwarding activities, ensuring smooth shipment processes and compliance with maritime regulations. Reporting directly to the Branch Manager, this role manages relationships with shipping lines, carriers, and customers, proactively addressing operational challenges to enhance service quality and operational efficiency.
Duties and Responsibilities:
. Manage end-to-end ocean freight operations, including cargo booking, vessel scheduling, shipment tracking, and documentation handling.
. Act as the primary point of contact for customers by handling inquiries, processing orders, and providing timely and professional communication on shipment status.
. Proactively coordinate with shipping lines, carriers, overseas agents, and internal stakeholders to ensure smooth execution of shipments.
. Generate spot quotations, negotiate with carriers, and update customers and internal teams with the latest routing, pricing, and SOPs.
. Ensure accurate and timely data entry in CW1, including shipment job creation, event updates, and proper documentation in E-docs.
. Manage carrier bookings and shipping instructions (SI)submissions efficiently, ensuring adherence to timelines and operational priorities.
. Monitor shipments for potential delays or disruptions, escalate issues proactively, and implement corrective actions in line with company standards and customer requirements.
. Ensure compliance with international shipping regulations, customs procedures, and internal policies while maintaining high data integrity and documentation accuracy.
. Collaborate with cross-functional teams (sales, customer service, finance) to resolve issues, improve processes, and enhance overall customer satisfaction.
. Track operational performance, contribute to departmental KPIs, prepare reports, and identify opportunities for process improvements and business growth.
