Primary Role
To manage day-to-day HR operational matters for JEN Singapore Tanglin, partnering Division Heads to deliver strong HR service across payroll administration, talent acquisition, HRIS, compensation & benefits, performance management, work pass/visa administration, and employee engagementaligned with Shangri-La Group standards and Singapore employment legislation.
Responsibilities
- Payroll Administration (Core Ownership)
- Own end-to-end monthly payroll administration, including compilation of payroll inputs (new hires, resignations, salary changes, allowances, deductions, unpaid leave, claims, overtime where applicable).
- Prepare and manage all payroll administration deliverables including IR8A, Appendix 8A/8B (where applicable), Benefits-in-Kind, and related statutory payroll documentation.
- Perform 1st& 2nd -pass payroll verification and reconciliation checks (variances, accuracy, completeness), ensuring clean submission to Oriosoft for payroll processing.
- Coordinate payroll schedules, follow up on discrepancies, maintain payroll documentation, and ensure records are audit-ready.
- HR Reporting, Analytics & Compliance
- Compile, analyze, and submit HR reports including headcount, labour cost, attrition, absenteeism, exit trends, and training compliance, ensuring accuracy, timeliness, and alignment with requirements of Management, Regional/Group HR, and statutory bodies (e.g., MOM, SNEF).
- Facilitate and ensure internal and external audit readiness, leading audit documentation, submissions, and follow-ups.
- Maintain accurate and up-to-date employee data in the HRIS system with strict confidentiality.
- HR Operations & HRIS
- Responsible for the day-to-day HR operational matters for JEN Singapore Tanglin.
- Update and maintain HRIS to ensure HR records are accurate, current, and compliant (employee movements, contract changes, personal particulars, benefits, etc.).
- Support HR reporting and data accuracy for audits, management reporting, and operational needs.
- Recruitment, Onboarding & Offboarding
- Manage end-to-end recruitment and onboarding, including job postings (e.g., CareersFuture, LinkedIn), interview coordination, selection, salary proposal, contract preparation, and confirmation tracking.
- Monitor probation, contract expiry, and confirmation timelines, ensuring timely action and follow-up.
- Oversee offboarding processes, including system updates, exit interviews, clearance administration, and coordination of final settlement documentation.
- Employee Relations & HR Advisory
- Handle disciplinary and grievance matters with fair process and proper documentation.
- Provide guidance to line managers on HR policies, performance matters, and general HR advisory.
- Performance, Talent & Annual HR Exercises
- Support annual HR cycles such as year-end performance appraisal, Talent Management, and bonus, including communications, system tracking, data collation, and preparation of materials.
- Policies, Projects & Stakeholder Management
- Review, update, and communicate HR policies and SOPs to ensure compliance and staff understanding.
- Lead or support HR projects and process improvements to drive operational excellence.
- Liaise with external vendors and government authorities (e.g., MOM) as required.
- Support HR budgeting and manpower planning activities when required.
- Review and verify HR-related invoices and coordinate with Finance for timely processing.
- Perform any other HR-related duties or projects to support departmental and organizational objectives.
- Compensation & Benefits
- Keep abreast of market trends in compensation and benefits; analyze data and propose competitive base and incentive pay initiatives to support attraction and retention.
- Support annual rewards exercises (where applicable) through reporting, analysis, and preparation of documentation.
- Work Pass & Visa Administration
- Oversee all matters relating to employee work passes and visas (application, renewal, cancellation, and compliance documentation).
- Liaise with relevant authorities and ensure adherence to Singapore requirements.
- Employee Engagement & HR Initiatives
- Support and execute employee engagement initiatives and staff events (e.g., bi-monthly birthday celebrations, Dinner & Dance, Long Service Awards, festive celebrations), including planning, coordination, communications, and logistics.
- Support employee recognition programmes and internal communications; create engaging presentations and written materials for HR programme rollouts.
- Support cross-functional HR projects and other duties as assigned to enhance overall HR service delivery.
Requirements
- Diploma or Bachelor's Degree in Human Resource Management or related discipline (preferred).
- Minimum 5 years experience as an HR Generalist with broad HR operations exposure.
- Strong payroll experience with proven capability to manage monthly payroll administration and statutory submissions (e.g., IR8A, Benefits-in-Kind); comfortable liaising with an external payroll vendor (e.g., Oriosoft).
- Strong working knowledge of Singapore employment legislation and HR best practices.
- Meticulous and detail-oriented, with a strong sense of confidentiality and data accuracy.
- Strong analytical skills; good with numbers and able to perform reconciliation, variance analysis, and data checks confidently.
- Strong Microsoft Excel skills (e.g., pivot tables, lookups, data validation, basic analysis).
- Comfortable working with HR systems (HRIS); able to maintain accurate employee records and reports.
- Self-starter who is proactive, hands-on, and able to work independently with minimal supervision.
- Team player with strong communication and stakeholder management skills.
