Job Overview

Reporting to Director, Board Secretariat, the role will be responsible for providing full spectrum of corporate secretariat services for entities under his/her care and administrative supports for key activities assigned by Director, Board Secretariat.

Job Descriptions

The role will be responsible for the following

  • lead the corporate secretariat function of one of the three fund entities, support the secretariat functions of NUHS Main board and the other two fund entities working closely with Team B.
  • support Director, Board Secretariat in Minister-NUHS Board engagement, annual Master Agenda planning and meetings with Chairman and CEOs.
  • Preparation of meeting materials, coordination for circulations and recording into statutory records
  • Minutes taking and minutes writing
  • Assist in preparing and circulating of Directors Resolutions in Writing and related documents for signature and approval
  • Filing of Notices with the Accounting and Corporate Regulatory Authority (ACRA), Charities Portal, etc.
  • Managing and submission of claims, vendor invoice processing, including any procurement process involved
  • Assist in CorpPass administration and maintenance and all related functions
  • Assist in any other logistics and administrative support

Job Requirements

  • Preferably possess a SAICSA Executive Diploma in Corporate Administration (EDCA), other Diploma holder currently/intend pursuing ICSA qualification or a Degree equivalent
  • At least 6 to 10 years of relevant experience in public company, in-house secretariat or service provider for Corporate Secretariat services
  • Ability to carry out basic corporate secretarial tasks with minimal supervision
  • Must be a team player, meticulous and willing to learn
  • Good verbal and written communication skills
  • Proficient in Excel, PowerPoint and Word Documents.
  • Ability to multi-task and work under tight timelines
  • Good people, analytical and organisation skills
  • Experience dealings with Senior Management team and communication with Board members
  • Experience in organizing corporate event involving more than 30 persons will be an advantage (example AGMs, board retreat and learning journeys etc)
