Job Description

Beyond The Vines is a multidisciplinary design studio based in Singapore, with a physical and online retail presence in Singapore and the region. We are looking for an Assistant People Operations Manager to join our People Operations team at Beyond The Vines. This role supports the full spectrum of HR across our HQ and retail teams, with exposure to recruitment, employee relations, HR operations, engagement, performance management, policies, and compensation matters. The ideal candidate is hands-on, thoughtful, organised, and comfortable working in a fast-paced retail and creative environment. You should be able to balance people sensitivity with operational discipline, and enjoy building processes that support both the business and our crew.

Responsibilities include:

HR Operations & Policies

  • Support the execution and improvement of HR policies, processes, and people practices across the business.
  • Ensure HR operations are carried out accurately and consistently, including onboarding, offboarding, employee records, letters, and documentation.
  • Maintain and update HR policies, employee handbook, templates, and internal guidelines.
  • Support compliance with local labour laws, company policies, and relevant employment regulations.
  • Prepare HR reports, people data, and basic analytics for management review when required.
  • Support sensitive HR matters, including disciplinary cases, grievances, performance concerns, exits, and terminations, with professionalism and discretion.
  • Identify gaps in existing HR processes and recommend improvements to improve efficiency and crew experience.

Recruitment & Talent Acquisition

  • Manage and support the end-to-end recruitment process, including job postings, candidate sourcing, screening, interview coordination, offer preparation, and onboarding.
  • Partner with hiring managers to understand role requirements, team needs, and workforce planning priorities.
  • Support employer branding efforts to attract talent who are aligned with the brand, culture, and values of Beyond The Vines.
  • Work with the People Operations team to improve recruitment workflows, candidate experience, and hiring timelines.

Employee Relations & Engagement

  • Act as a point of contact for crew on HR-related matters, providing timely, fair, and thoughtful support.
  • Support employee relations matters, including crew concerns, feedback, grievances, conduct issues, and manager-employee matters.
  • Partner with managers to promote a positive, respectful, and accountable work environment.
  • Work with the Community team to plan and execute crew engagement activities, celebrations, team-building initiatives, and internal events.
  • Support internal communications relating to HR updates, crew movements, policy changes, and people initiatives.
  • Help build and maintain a strong crew experience across both HQ and retail teams.

Performance Management & Learning

  • Support the performance review cycle, including timelines, communications, documentation, and follow-ups with managers.
  • Guide managers on performance management processes, including feedback conversations, probation reviews, performance improvement plans, and documentation.
  • Track probation, confirmation, performance review, and development milestones.
  • Identify training needs across teams and support the coordination of learning and development initiatives.
  • Assist in building internal programmes that support crew growth, manager capability, and team effectiveness.

Compensation & Benefits

  • Support benefits administration, including insurance, leave, staff benefits, and employee welfare initiatives.
  • Assist with salary benchmarking and compensation reviews to support fair and market-aligned practices.
  • Prepare employment letters, salary revision letters, promotion letters, and other compensation-related documents.

Requirements include:

  • Degree or diploma in Human Resources, Business, Psychology, or a related field.
  • At least 4–6 years of HR experience, ideally in a fast-paced retail, lifestyle, creative, or consumer-facing environment.
  • Strong working knowledge of Singapore employment practices and HR operations.
  • Experience in recruitment, employee relations, onboarding/offboarding, performance management, and HR documentation.
  • Comfortable working with both HQ and retail teams.
  • Good judgement, discretion, and maturity in handling sensitive people matters.
  • Strong written and verbal communication skills.
  • Organised, detail-oriented, and able to manage multiple priorities independently.
  • Hands-on, proactive, and comfortable working in a lean team environment.
  • Experience with regional HR matters would be an advantage, but not required.
