Job Description

Job Responsibilities:

Facility Management

  • Assist in overseeing the day-to-day operations of the facility, ensuring it runs smoothly and efficiently
  • Coordinate maintenance activities, including repaird, renovations and equipment upgrades
  • Manage vendor relationships and contracts for services such as cleaning, security and landscaping
  • Monitor facility budgets and expenses, identifying cost-saving opportunities where possible
  • Ensure compliance with health and safety regulations and implement emergency procedures when necessary

Project Management

  • Assist in planning, coordinating and executing facility-related projects, such as office renovations or equipment installations
  • Develop project timelines, budgets and resource plans in collaboration with the Facility Manager
  • Coordinate with internal stakeholders and external contractors to ensure projects are completed on time and within budget
  • Track project progress, identify risks and implement mitigation strategies to keep projects on track
  • Prepare regular project status reports and updates for management and stakeholders

Administrative Duties

  • Provide administrative support to the Facility Manager, including scheduling meetings, managing correspondence, and maintaining records
  • Assist in preparing and maintaning facility documentation, such as leases, permits and compliance certificates
  • Coordinate facility-related communications and announcements to staff and tenants
  • Assist in developing and implementing policies and procedures to improve facility operations and efficiency

Communication and Coordination

  • Act as a liaison between the Facility Manager, internal departments, exzternal vendors and other stakeholders
  • Communicate effectively with staff, tenants, and contractors to address issues and resolve conflicts in a timely manner
  • Coordinate logistics for facility-related events, meetings and site visits


Job Requirements:

  • Proven experience in managing mechanical and electrical engineering projects
  • Strong understanding of industry standards and regulations
  • Project management certification is a plus
  • Excellent problem-solving and decision-making skills
  • Proficiency in CAD software for design purposes
  • Knowledge of energy-efficient and sustainable engineering practices
  • Effective communication and interpersonal skills
  • Experience in managing people is a plus
