Job Responsibilities:
Facility Management
- Assist in overseeing the day-to-day operations of the facility, ensuring it runs smoothly and efficiently
- Coordinate maintenance activities, including repaird, renovations and equipment upgrades
- Manage vendor relationships and contracts for services such as cleaning, security and landscaping
- Monitor facility budgets and expenses, identifying cost-saving opportunities where possible
- Ensure compliance with health and safety regulations and implement emergency procedures when necessary
Project Management
- Assist in planning, coordinating and executing facility-related projects, such as office renovations or equipment installations
- Develop project timelines, budgets and resource plans in collaboration with the Facility Manager
- Coordinate with internal stakeholders and external contractors to ensure projects are completed on time and within budget
- Track project progress, identify risks and implement mitigation strategies to keep projects on track
- Prepare regular project status reports and updates for management and stakeholders
Administrative Duties
- Provide administrative support to the Facility Manager, including scheduling meetings, managing correspondence, and maintaining records
- Assist in preparing and maintaning facility documentation, such as leases, permits and compliance certificates
- Coordinate facility-related communications and announcements to staff and tenants
- Assist in developing and implementing policies and procedures to improve facility operations and efficiency
Communication and Coordination
- Act as a liaison between the Facility Manager, internal departments, exzternal vendors and other stakeholders
- Communicate effectively with staff, tenants, and contractors to address issues and resolve conflicts in a timely manner
- Coordinate logistics for facility-related events, meetings and site visits
Job Requirements:
- Proven experience in managing mechanical and electrical engineering projects
- Strong understanding of industry standards and regulations
- Project management certification is a plus
- Excellent problem-solving and decision-making skills
- Proficiency in CAD software for design purposes
- Knowledge of energy-efficient and sustainable engineering practices
- Effective communication and interpersonal skills
- Experience in managing people is a plus
