Job Scope:
The Assistant Engineer (Deployment Support) will provide comprehensive support to the deployment team in coordinating site preparation, documentation, and administrative activities. The role involves assisting engineers with technical submissions, managing tools and equipment logistics, and facilitating internal coordination to ensure smooth project execution.
Key Responsibilities:
1. Documentation & Submission Support
- Assist engineers in preparing, reviewing, and submitting project-related documentation such as method statements, inspection records, checklists, and material approval forms.
- Ensure all technical and administrative submissions comply with company and client standards (e.g., LTA, SMRT, Hitachi Rail GTS requirements).
- Maintain proper filing and tracking of documentation (soft and hard copies) for audit readiness and traceability.
2. Site Preparation & Coordination
- Support the deployment team in arranging and coordinating site activities, including preparation of required tools, equipment, and materials.
- Follow up with internal departments (procurement, logistics, quality, safety, etc.) to ensure site requirements are met in a timely manner.
- Prepare daily or weekly progress summaries and assist in compiling reports for management and customer meetings.
3. Tools & Equipment Management
- Maintain an updated list of deployment tools, calibration certificates, and equipment readiness.
- Coordinate inspection schedules, service records, and replacements when required.
- Ensure the physical availability and readiness of tools/equipment for deployment or shutdown activities.
4. Administrative & Operational Support
- Handle internal coordination for gate passes, permit-to-work submissions, and manpower planning updates.
- Assist with scheduling meetings, taking minutes, and following up on assigned action items.
- Support the team in processing purchase requests, goods receipt notes (GRN), and related administrative tasks in coordination with other departments.
Qualifications & Requirements:
- Diploma or Degree in Electrical, Mechanical, Civil Engineering, or equivalent.
- 1-3 years of relevant experience in engineering, site coordination, or project administration (fresh graduates are welcome to apply).
- Strong organizational and multitasking skills with attention to detail.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and familiar with documentation workflows.
- Good communication and teamwork skills.
- Willingness to visit work sites when necessary to support deployment activities.
Preferred Attributes:
- Experience in rail, construction, or infrastructure projects will be advantageous.
- Basic understanding of safety and quality documentation (e.g., calibration, inspection forms, safety checklists).
- Proactive attitude with a sense of ownership and accountability in supporting project delivery.
