What the role is
You will be part of EnterpriseSG's Finance, Procurement and Administration team responsible for managing of the fiscal sustainability, driving value-for-money in purchases, and ensuring a safe and conducive work environment.
In this role, we are looking for a proactive and tech-savvy Facilities & Office Administration Executive to support the smooth operation of our workplace. This role is well-suited for candidates with a Diploma or Degree in Facilities Management, Business Administration, or related fields, who are passionate about process improvement and leveraging technology in day-to-day operations.
What you will be working on
You will be reporting to Deputy Director (Administration) and will support Office Facilities Initiatives at EnterpriseSG in the following key areas:
1. Strategic Workspace & Facilities Planning
- Support the development and execution of long-term workspace strategies to optimise office layout, support hybrid work arrangements, and enhance employee experience.
- Encourage adoption of new facilities management technologies to promote innovation and collaborative work culture.
2. Facilities Operations & Vendor Management
- Oversee daily office operations including vendor management and facility maintenance.
- Support vendor performance tracking, contract reviews, and internal/external audits.
3. Administration & Digital Transformation
- Drive digitalisation efforts by integrating smart office solutions (e.g., IoT sensors, dashboards, mobile reporting tools).
- Work with internal teams (e.g., IT and HR) to streamline administrative workflows and enhance user experience.
4. Stakeholder Engagement & Workplace Experience
- Implement initiatives to improve the workplace environment, respond to feedback, and support employee wellbeing.
- Uphold workplace safety, health, and security standards, including adherence to Office 5S practices.
What we are looking for
- Diploma or higher in any discipline in Facilities Management, Business Administration, or related field.
- Strong organisation, communication, and problem-solving skills.
- Comfortable using office automation tools, (e.g. Chatgpt, Microsoft Co-pilot, Notion AI), and any other tech platforms to improve efficiency.
- Independent, resourceful, and a team player with keen attention to detail
- Ability to prepare clear, concise reports and visually engaging PowerPoint presentations.
- Experience in vendor management, lease administration, and digital workflow tools will be advantageous.
