The ASRS Operations Specialist is responsible for the safe, accurate and efficient day-to-day operation of the company's four-way shuttle Automated Storage and Retrieval System (ASRS) used for records management cartons. The role owns inbound storage, outbound retrieval, inventory integrity, system monitoring, operational reporting and first-line issue resolution, while coordinating technical faults and planned maintenance with approved vendors and internal stakeholders.

Key Responsibilities

ASRS operations

  • Operate, monitor, start up and shut down the ASRS in accordance with approved procedures.
  • Manage the end-to-end movement of records cartons into and out of the ASRS, including staging, induction, storage, retrieval and handover.
  • Prioritise retrieval and put-away activity according to customer service requirements, operational cut-off times and agreed service levels.
  • Monitor system queues, throughput, alarms and exceptions through the applicable warehouse and equipment interfaces.
  • Maintain orderly and safe staging areas and coordinate carton handling with warehouse team members.

Inventory control and records integrity

  • Maintain accurate carton and location records across the ASRS, WMS and records management systems.
  • Investigate mislocations, rejected cartons, duplicate records, missing items and other inventory discrepancies.
  • Conduct cycle counts, exception checks and stock reconciliations, and document corrective actions.
  • Protect carton traceability and chain of custody throughout all system movements.

First-line troubleshooting and vendor coordination

  • Respond to operational alarms and system exceptions using approved first-line recovery procedures.
  • Distinguish operating issues from mechanical, electrical, controls or software faults and escalate promptly.
  • Coordinate service calls, access, downtime and return-to-service checks with Dexion, Techlink, system integrators, WMS providers and other approved contractors, as applicable.
  • Maintain an incident and downtime log, including fault description, impact, action taken, escalation and closure.
  • Do not undertake specialist maintenance, electrical work or system changes unless trained, authorised and covered by the relevant safe work procedure.

Performance improvement and governance

  • Review storage utilisation, slotting, retrieval patterns and workflow bottlenecks and recommend practical improvements.
  • Maintain SOPs, work instructions, checklists and contingency procedures for ASRS operations.
  • Support testing, upgrades, maintenance windows, disaster recovery exercises and operational acceptance activities.
  • Train and cross-train designated backup operators in approved operating and emergency procedures.
  • Prepare accurate daily, weekly and monthly operational reports for management review.

Safety and compliance

  • Comply with workplace safety, security, records confidentiality and customer data handling requirements.
  • Complete pre-operation checks and immediately report unsafe conditions, damaged cartons, equipment defects or access-control concerns.
  • Ensure that ASRS restricted areas are accessed only by authorised personnel and that lockout/tagout boundaries are respected.
  • Participate in toolbox talks, risk assessments, incident investigations and corrective-action reviews.

Qualifications and Experience

  • Diploma, NITEC/Higher NITEC or equivalent qualification in logistics, warehousing, mechatronics, automation, engineering or a related discipline.
  • Approximately five years of relevant experience in automated warehousing, ASRS operations, warehouse control systems, conveyor/shuttle systems or automated material handling.
  • Hands-on experience using WMS/WCS interfaces, control panels, dashboards, alarms and operational reports.
  • Working knowledge of inventory control, cycle counting, reconciliation and warehouse safety practices.
  • Experience in records management, document storage or regulated inventory environments is advantageous.
  • Forklift or material-handling certification is advantageous
