Job Description

Job Overview:

The Architectural Submission Officer is responsible for coordinating, preparing, and managing architectural submission documents for building projects. This role ensures that all necessary architectural drawings, technical reports, and regulatory documents are accurately submitted to relevant authorities, ensuring compliance with planning, zoning, and building codes. The officer will work closely with project managers, architects, and consultants to streamline the submission process, facilitating timely approvals and minimizing delays.

Key Responsibilities:

Document Management:

  • Prepare and review architectural drawings, reports, and specifications for submission to local authorities, planning departments, and regulatory agencies.

Submission Coordination:

  • Liaise with architects, project managers, and consultants to ensure that all necessary documents are compiled and submitted in a timely and accurate manner.

Regulatory Compliance:

  • Ensure all submissions meet local zoning regulations, building codes, and other relevant laws. Stay updated on changes to planning policies and building regulations.

Client Liaison:

  • Communicate with clients to clarify any requirements or adjustments needed for their submission and ensure they understand the process and timelines.

Tracking & Follow-Up:

  • Monitor the progress of submissions and follow up with local authorities to ensure timely responses, addressing any queries or issues raised during the review process.

Quality Control:

  • Verify that all submitted materials meet project requirements and are professionally formatted, complete, and accurate before submission.

Coordination with Contractors & Consultants:

  • Work with external consultants and contractors to gather any supplementary documentation or adjustments required for submission.

Record Keeping:

  • Maintain accurate and organized records of all submissions, approvals, and correspondence for future reference.

Permit Acquisition:

  • Assist in the process of acquiring building permits and any other required legal or regulatory approvals.

Reporting & Updates:

  • Prepare and present regular reports on the status of submissions and approvals, including any potential delays or issues.

Key Requirements:

Educational Background:

  • Bachelors degree in architecture, Construction Management, Urban Planning, or related field (preferred).
  • Certification or training in building codes, construction law, or project management is a plus.

Experience:

  • Proven experience (3-5 years) in an architectural or construction-related role, particularly in the preparation and submission of architectural documents.
  • Strong understanding of building regulations, zoning laws, and local planning policies.

Skills and Competencies:

  • Excellent organizational skills with the ability to manage multiple projects and deadlines.
  • Strong communication skills to liaise with clients, contractors, and local authorities.
  • Proficiency in architectural software (e.g., AutoCAD, Revit, SketchUp, etc.).
  • Familiarity with permit applications and regulatory processes.
  • Attention to detail and ability to work under pressure.
  • Ability to understand technical architectural documents and legal language.
