Summary: Air Operations Coordinator

The primary responsibilities of the Air Operations Coordinator are to coordinate and execute all aspects of daily air export operations. This role ensures the timely and accurate handling of cargo, compliance with international regulations, proactive communication with clients and partners, and continuous process improvement to deliver efficient, reliable air freight solutions.

Duties and Responsibilities:

  • Coordinate daily air export operations, including booking cargo space, scheduling pickups, and preparing shipments.
  • Prepare and process all air export documentationairway bills, commercial invoices, packing lists, and export declarationswith strict adherence to regulatory requirements and internal SOPs.
  • Liaise with airlines, ground handling agents, freight forwarders, and customs brokers to secure cargo space, negotiate rates, and resolve documentation or customs issues.
  • Monitor flight schedules and track shipments, providing regular and accurate updates to customers on cargo status.
  • Resolve customs clearance problems, transportation disruptions, or discrepancies, applying root cause analysis and prompt solutions.
  • Maintain accurate records of operational activities, shipments, expenses, and compliance documentation for reporting and analysis.
  • Ensure adherence to safety, security, and company procedures in the handling and transportation of air cargo.
  • Contribute to process improvement initiatives, participate in technology adoption, and assist in emergency/crisis management activities as assigned.
  • Work closely with internal departments such as sales and customer service to meet client and operational requirements.

  • Knowledge of international air cargo procedures, export documentation, Incoterms, and customs compliance.
  • Strong organizational, time management, and record-keeping skills for efficient multitasking in a fast-paced environment.
  • Effective communication and interpersonal skills for internal collaboration and customer service.
  • Analytical thinking and problem-solving skills, with the ability to address discrepancies and drive continuous improvement.
  • Proficient in MS Office applications (Excel, Word, Outlook) and able to adopt transportation or warehouse management systems as needed.

Education and Experience:

  • Bachelor's degree preferred, but candidates with relevant diploma or equivalent experience considered.
  • Minimum 12 years experience in air export operations or freight forwarding, including hands-on experience in documentation and operational coordination.

Physical Requirements:

  • The employee frequently is required to stand and walk. The employee must occasionally lift and/or move up to 50 pounds, particularly luggage while traveling.
  • Regular travel required.
