Job Title: After Sales Administrator

We are seeking a proactive and detail oriented After Sales Administrator to join our Service Department at Sauer Compressors Singapore. As part of a globally recognized leader in compressor technology, this role plays a critical part in ensuring smooth after-sales operations, delivering outstanding customer support, and maintaining high service standards. You will be the first point of contact for service-related inquiries and will coordinate closely with internal teams, HQ, and customers to ensure timely and accurate service delivery.
Customer Service & Support
. Serve as the primary contact for customer inquiries and service issues.
. Log service calls and directs them to the appropriate personnel in a courteous and professional manner.
Order and Delivery Management
. Provide quotations for compressor spare parts within 24 to 48 hours.
. Process customer orders and acknowledge purchase orders within the same 24 to 48-hour timeframe.
. Communicate delivery schedules and updates to customers promptly.
. Prepare Commercial Invoices and Packing Lists for both local and direct deliveries.
. Coordinate delivery instructions and generate Delivery Orders for warehouse dispatch.
. Investigate and resolve any discrepancies in customer orders.
. Issue delivery notices to customers upon completion of order fulfilment.
. Request shipping documents and Air Waybills (AWB).
. Compile and submit billing documentation to the Finance Department for processing.
Field Service Coordination
. Schedule and manage travel arrangements for Field Service Technicians.
. Ensure optimal technician coverage and timely customer site visits.
Service Data & Quality Management
. Assist in analyzing Field Service Reports, warranty claims, and internal data to uphold service quality.
. Assist in maintaining accurate records and service case updates using Salesforce.
Salesforce & Documentation
. Create service opportunities and quotations in Salesforce.
. Prepare and submit service billing/invoices assist with reconciliation and billing documentation.
Warranty & Vendor Liaison
. Coordinate with HQ to report service issues and support warranty claims.
. Engage with vendors and internal departments to resolve service challenges.
Others supporting duties
. Identify and support additional revenue opportunities within the Aftersales and Service Department.
. Organize customer and distributor training sessions in collaboration with the Training Coordinator and/or Marketing Department
. Assist in generating reports, graphs, and spreadsheets for performance tracking.
. Perform other duties as assigned from time to time.
. Experience in customer service and administrative support, preferably in a technical or industrial setting.
. Ability to manage multiple tasks and meet tight deadlines.
