Job Summary
The Administrative Assistant provides comprehensive administrative and operational support to ensure the smooth functioning of the architectural practice.
Responsibilities
- Deliver timely and accurate administrative support to directors and project teams by managing correspondence, filing, scheduling, and coordinating meetings to facilitate project progress
- Oversee office operations by managing supplies, vendor relationships, and daily administrative tasks to maintain an efficient work environment
- Prepare, format, file, and control project documentation to ensure compliance and facilitate smooth coordination of submissions
- Track and monitor submissions, approvals, and correspondence with consultants and authorities to support project timelines and regulatory compliance
- Process invoicing, expense claims, and basic finance administration while maintaining accurate HR-related documentation to support operational workflows
- Coordinate meetings, appointments, and logistics with clients, consultants, and external parties to enable effective communication and collaboration
- Assist in preparing proposals, reports, and presentation materials to support business development and project delivery efforts
Required competencies and certifications
- Diploma or equivalent qualification in Business Administration or a related field
- Proficient use of Microsoft Office applications to produce and manage administrative documents efficiently
Preferred competencies and qualifications
- Prior administrative experience in architectural, engineering, or construction environments, demonstrating familiarity with industry-specific workflows and documentation
- Strong organizational skills to manage multiple tasks and priorities in a professional office setting
- Effective communication skills to liaise with internal teams and external stakeholders
- Detail-oriented and proactive approach to anticipate and resolve administrative challenges
