Job Responsibilities
1. Meeting Coordination:
- Schedule and coordinate internal and external meetings, including team meetings, client meetings, and presentations creation support.
- Arrange conference rooms, video conferencing, and necessary resources for meetings.
- Send out meeting invitations, agendas, and reminders to participants.
- Record meeting minutes and follow up on action items.
2. Event Planning Support:
- Support creating event timetable
- Send out RSVP form to guests, consolidate as guest list, and send reminders to participants
- Manage guest list including flight information, hotel check in/out dates, transportation details, and personal details
3. Department Schedule Management:
- Maintain and organize the marketing team's calendars, ensuring appointments and deadlines are met
4. General Administrative Support:
- Provide general administrative support to the marketing department, including filing, document management, and data entry.
- Handle incoming and outgoing correspondence, emails, and phone calls.
- Assist with travel arrangements and logistics for team members, if needed.
Requirements
- Proven experience as an administrative assistant or in a similar role
- Strong organizational skills and attention to detail
- Proficiency in calendar management and scheduling tools
- Excellent communication and interpersonal skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to adapt to changing priorities and work effectively in a fast-paced environment
- High level of discretion and confidentiality
- Positive attitude and a proactive approach to problem-solving
- Jap MNC, 5 days week at Tg pagar MRT
