Job Summary
You will manage and coordinate document control and administrative tasks for the Design Team in a construction project, ensuring timely and accurate handling of project documents and supporting smooth communication with consultants and clients.
Responsibilities
Administrations
- Issue of stationeries / Pantries/ Toiletries & control including purchasing and cost compare
- Event arrangement/ Workers mthly dinner arrangement/ Fruit day/Bonding day and etc
- Renewal of TOL lease/ GGBS/ ISO / BCA upgrade
- Monitor, update of all software expire date and do compare cost before renewal
- HP/ Singtel/ Elect bill/ Starhub recontract and keep mthly record
- Letter box / postage/ courier
- Cover DC duties when necessaries
- Update and keep record of all computer/ Lap top/ Copier/ Furniture/ Coffee maker /furniture/ phone and all admin assest.
- All master outgoing and incoming correspondence to control and master email out to all HOD
- Arrangement of meeting room
- Shell Petrol Card/ Mr Chiang golf membership card/ Mr Chiang corporate credit card
- Verified all admin suppliers tax invoice and keep record or qty
- Record and update vehicles insurance and road tax. Cost compare of all insurance renewal
- Assist in ISO and GGBS audit
- Update,record and control of all company's HP, Internet, Elect, water usage include renewal of contract
- General admin
Document Controller
- Manage daily document control tasks for the Design Team to ensure accurate and timely handling of project documents
- Coordinate document exchanges with design consultants and clients (LTA) to maintain effective communication and project progress
- Obtain project team approvals to access relevant platforms and systems for document management
- Maintain organized electronic and hard copy records of project documents to support project tracking and compliance
- Assist with administrative duties to support the Design Team's operational needs
- Collaborate effectively with team members to meet project deadlines and maintain a neat and orderly work environment
- Other ad-hoc administration duties
Preferred competencies and qualifications
- Minimum 2 years of experience in administration/DC, preferably within construction projects
- Proficient computer skills to manage electronic documentation and communication
- O Level certification or higher
- Ability to work well in a team and maintain a neat, organized personality
