Position Summary
We are seeking a reliable and organisedAdministrative Support Executiveto ensure the smooth coordination of Honour (Singapore)s internal operations. This role plays a vital function in supporting the Executive Committee and Management Team. Key responsibilities include organising meetings, managing schedules and contacts, maintaining records and databases, and providing general office support.
Key Responsibilities
Support to the Executive Committee and Management Team
Provide secretarial and administrative support
Coordinate meetings and engagements, including scheduling, agenda preparation, circulation of papers, minute-taking, and follow-up actions
Maintain proper records of meeting minutes, resolutions, and governance documents
Assist with the preparation of reports and materials for board and committee reviews
Diary and Meeting Coordination
Manage and coordinate calendars for key meetings involving external stakeholders
Arrange logistics for physical and virtual meetings (venue booking, equipment setup, refreshments, online links)
Track RSVPs, send reminders, and ensure timely documentation
Database and Contacts Management
Maintain and regularly update the organisations stakeholder contact lists and databases
Generate mailing lists for outreach, engagement, and event invitations
Ensure compliance with data protection and confidentiality standards
Office and Administrative Support
Organise digital and physical filing systems for ease of access and retrieval
Handle day-to-day administrative tasks including correspondence, document formatting, and basic finance support (e.g. business claims and expenses)
Support event logistics and communications (e.g. name list compilation, printing, registration desk, etc.)
Liaise with vendors and manage inventory of office supplies
Any other matters assigned
Requirements
Qualifications & Experience
Diploma in Business Administration, Office Management, or a related field
25 years of experience in an administrative or secretarial support role
Prior experience supporting Boards, Executive Committees, or C-suite executives is preferred
Skills & Attributes
Excellent organisational and time management skills
Strong verbal and written communication skills
High level of professionalism, discretion, and confidentiality
Proficient in Microsoft Office and comfortable with cloud-based platforms (e.g. Google Workspace, Microsoft Dynamics 365, Zoom)
Details-oriented, proactive, and able to manage multiple priorities
Familiarity with the non-profit or community sector is an advantage
