Key Responsibilities
Office Administration & Backend Operations
. Oversee and streamline internal administrative processes
. Maintain accurate documentation, contracts, and employee records
. Support payroll submission, timesheet verification, and invoicing coordination
. Ensure compliance with MOM regulations and company SOPs
. Coordinate internal reporting and administrative workflow improvements
Manpower Scheduling & Client Support (F&B Sector)
. Manage and coordinate part-time manpower scheduling for F&B clients
. Liaise with clients on shift requirements, changes, and manpower gaps
. Optimise deployment to ensure fulfilment and minimise last-minute shortages
. Monitor attendance, replacement needs, and performance feedback
. Ensure smooth communication between clients and deployed staff
Recruitment & Pool Management
. Source, interview, and onboard new part-time candidates
. Build and maintain a reliable pool of part-time employees
. Conduct screening, basic interviews, and reference checks
. Ensure proper onboarding documentation and briefing
. Continuously expand and refresh manpower database to meet peak demand
Performance & Operational Monitoring
. Track fulfilment rates, replacement rates, and manpower reliability
. Identify operational bottlenecks and propose improvements
. Ensure service standards are met for all assigned accounts.
Requirements
. Diploma or Degree in Business Administration, HR, or related field
. Minimum 3-5 years of experience in administration, operations, HR, or manpower coordination
. Experience in F&B manpower scheduling is an advantage
. Strong organisational and time management skills
. Able to work in a fast-paced environment with shifting manpower demands
. Proficient in Microsoft Excel and basic reporting tools
. Strong communication and coordination skills
. Detail-oriented and process-driven
