About the Role

Zenith Facility Services Pte Ltd is seeking a proactive and resourceful Administrative & HR Executive to drive smooth office operations and strengthen our human resource functions.

This role goes beyond routine support - we're looking for someone who anticipates needs, solves problems independently, and takes ownership of tasks. You will work closely with the Managing Director and internal teams, ensuring efficiency across administrative processes while supporting essential HR initiatives.

Key Responsibilities

Administrative Excellence

  • Take ownership of office supplies, assets, and vendor coordination, resolving issues proactively.
  • Manage calls, emails, and correspondence with professionalism and problem-solving mindset.
  • Maintain accurate filing systems and company records (physical and digital).
  • Coordinate meetings, prepare agendas, and capture minutes with precision.
  • Arrange travel, accommodation, and logistics, anticipating potential challenges.
  • Oversee expense claims, petty cash, and vendor payments with accuracy.
  • Provide direct administrative support to the Managing Director, ensuring priorities are met.
  • Plan and execute office events, staff engagement activities, and workshops.

Human Resources Support

  • Drive recruitment activities, including job postings, resume screening, and interview scheduling.
  • Support employee onboarding, induction, and HR documentation with attention to detail.
  • Maintain accurate records of attendance, leave, and personnel files.
  • Compile payroll inputs and ensure timely processing through HR systems.
  • Draft HR letters (offer letters, confirmations, internal memos) with clarity and compliance.
  • Coordinate training programmes and employee engagement initiatives.
  • Uphold HR practices in line with company policies and statutory requirements.

Requirements

  • Diploma or Degree in Business Administration, Human Resources, or related field.
  • 1-3 years of experience in administrative and/or HR support preferred
    (Entry-level candidates are welcome training will be provided).
  • Strong organisational skills with ability to manage multiple priorities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office or Google Workspace.
  • Comfortable using digital tools and HR systems.
  • Meticulous, positive, and service-oriented mindset.
  • Demonstrated ability to anticipate needs, solve problems, and take initiative.
  • Strong interest in pursuing a career in HR, with willingness to undergo structured training.
