1.Office Operations & Logistics
Facility Management: Maintaining office equipment, managing supplies and inventory, and liaising with vendors or building management for repairs.
Scheduling: Coordinating high-level meetings, managing executive calendars, and booking conference rooms.
Travel Coordination: Organizing domestic and international travel itineraries, including flights, accommodation, and visa requirements.
Records Management: Developing and maintaining organized filing systems (both digital and physical) to ensure data is easily retrievable and secure.
2.Communication & Stakeholder Support
Inbound Correspondence: Serving as the first point of contact for the office, managing phone calls, emails, and physical mail.
Document Preparation: Drafting reports, proofreading memos, and preparing presentations or meeting minutes for senior management.
Inter-departmental Liaison: Acting as a bridge between departments (e.g., HR, Finance, and IT) to facilitate internal requests and policy updates.
3.Financial & HR Assistance
Expense Tracking: Processing invoices, managing petty cash, and assisting with basic bookkeeping or budget monitoring.
HR Support: Assisting with the onboarding of new hires, maintaining attendance records, and organizing company-wide events or team-building activities.
Requirement:
Education: A Diploma or Bachelor's Degree in Business Administration, Management, or a related field.
Software Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with collaboration tools like Google Workspace or Slack.
Systems Knowledge:
Familiarity with Enterprise Resource Planning (ERP) software or Customer Relationship Management (CRM) databases is often a major advantage.
