Job Summary

The Administrative Executive provides comprehensive administrative and sales support, delivering personalized secretarial assistance to the COO while managing coordination duties to support the organization's growth and operational efficiency.

Responsibilities

  • Deliver personalized secretarial support to the COO, managing diverse tasks to facilitate executive decision-making and operational flow
  • Coordinate and execute full-spectrum administrative duties including data entry, document management, and filing to ensure accurate and accessible records
  • Manage sales support functions by processing orders and maintaining detailed sales records aligned with company sales management policies
  • Compile and prepare monthly sales reports to inform business performance analysis
  • Oversee purchasing activities by preparing purchase orders, sourcing suppliers, coordinating deliveries, and evaluating supplier performance to optimize procurement processes
  • Liaise with internal departments to consolidate purchasing needs and ensure compliance with company purchasing procedures
  • Conduct price comparisons, request quotations, and support supplier performance reviews to enhance cost efficiency
  • Support daily office operations by monitoring office supplies and maintaining a well-organized work environment
  • Manage recruitment processes including posting job advertisements, conducting phone screenings, and arranging interviews to attract qualified candidates
  • Organize new employee orientation, onboarding, and scheduling to facilitate smooth integration of new hires
  • Execute additional administrative tasks and projects as assigned by the COO to support organizational objectives

Required competencies and certifications

  • Proficiency in MS Office and Excel software to efficiently manage administrative and reporting tasks
  • Proficiency in English to communicate effectively in verbal and written forms

Preferred competencies and qualifications

  • Diploma or equivalent qualification
  • Minimum of 2 years relevant experience demonstrating ability to multitask, prioritize workload, and manage multiple projects with effective time management
  • Strong organizational skills with attention to detail to maintain accuracy in administrative processes
  • Positive attitude and willingness to learn to adapt to evolving organizational needs
