The Administrative Executive is responsible for providing administrative and sales support in a professional and timely manner and personalized secretarial support to the COO. The Administrative Executive works one-to-one with the COO on a wide variety of matters. The candidate must be flexible to meet the demands of our growing organization.
Duties & Responsibilities:
- To perform the full spectrum of coordination and administrative duties, including data entry, documents, filling, coordinating with our associates etc.
- Efficient document management such as printing and filing of the documents.
- To perform sales support functions, order management functions and maintain a detailed sales record in accordance with company sales management procedures and policies.
- Tabulate and prepare monthly sales reports.
- In charge of purchasing, sourcing, coordinating, delivery and evaluation of suppliers for materials.
- Prepare purchase orders and coordinate with suppliers.
- Liaise with internal departments to consolidate purchasing needs.
- Ensure compliance with company purchasing procedures and policies.
- Support in price comparisons, quotation requests and supplier performance reviews.
- Assist with day-to-day operations of the office.
- Monitoring of office supplies.
- Perform secretarial support to COO.
- Handle recruitment processes such as posting job advertisement, interviews arrangement, etc.
- Assist to organize new employee orientation, on-boarding and working schedules.
- Other administrative duties, tasks as assigned by COO.
Requirements
. At least 2 years of relevant experience
. Degree or equivalent
. Proficient in MS Office and Excel Software
. Proficiency in English
. Ability to multitask and prioritize daily workload
. Good verbal and written communications skills
. Ability to manage multiple projects simultaneously with effective time management skills.
. Good organizational and administrative skills with attention to detail.
. Positive attitude and willingness to learn.
