Independently schedule and coordinate meetings, take meeting minutes, and follow up on action items
Organize and maintain documents and records, ensuring proper filing and process compliance
Support internal administrative workflows and continuously improve operational efficiency
Liaise with multiple teams and partners, including:
Singapore OGP team
Beijing team and China-based partners
Communicate clearly and professionally in both English and Mandarin via calls, emails, and meetings
Provide day-to-day administrative support to Directors, CEOs, and Senior Management
Attend external meetings with management and summarize key points and follow-up actions
Assist in optimizing time and task management for senior leadership
Assist with administrative-related expense processes (e.g., utilities, network, office rent)
Support finance in organizing payment-related documents (no bookkeeping required)
Assist in arranging business meetings, meals, and partner visits
Ensure all activities are well-organized, professional, and compliant with company processes
1-3 years of relevant experience in administration, secretarial work, or executive assistant roles
Experience supporting senior management (Director / CEO / Senior Manager) is a plus
Fluent in English and Mandarin, both written and spoken to coordinate effectively with local and overseas teams
Strong organizational skills, attention to detail, and ability to execute tasks reliably
Familiarity with basic office administrative processes and ability to collaborate effectively with finance teams
Able to work efficiently in a cross-cultural, multi-team environment
Experience in engineering, consulting, or professional services firms is a plus
