Job Description

We are seeking a meticulous and proactive Administrative Executive (Part-Time) to support our day-to-day operations across multiple functions, including procurement, asset management, office administration, tenancy, HR, and IT support. This role is ideal for a self-motivated individual who enjoys a dynamic work environment and takes pride in ensuring the smooth running of organisational processes.

What You Will Do

. Procurement & Vendor Management

  • Source and liaise with suppliers for office needs and ensure timely deliveries
  • Maintain and review vendor records and performance

. Asset & IT Administration

  • Manage asset inventory (IT, office equipment, books) and support basic IT coordination
  • Arrange repair services and liaise with IT vendors for maintenance and disposal

. Project & Proposal Administration

  • Maintain project documentation and track proposal submissions and outcomes. Prepare regular reports for management
  • Monitor procurement portals (e.g., SESAMI, GeBIZ, Tenderboard, Ariba) to identify relevant opportunities, coordinate with internal teams, and support the timely and accurate submission of proposals

. Office & Tenancy Administration

  • Oversee day-to-day office operations, including mail distribution, insurance renewals, office supplies, and vendor management (e.g., cleaners, drinking water)
  • Manage office access (e.g., door access cards, EZ-Link cards) and maintain accurate records
  • Support tenancy matters and coordinate with agents or tenants on lease agreements and repair works
  • Conduct risk assessments and ensure timely renewal of BizSafe certification

. Human Resource Support

  • Verify and maintain leave and claims records
  • Assist in year-end reporting and HR administrative updates for new/resigned staff

What It Takes To Be In This Role

  • Prior experience in administrative, finance, or operations support roles
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with platforms such as SESAMI, GeBIZ, Tenderboard or Ariba is advantageous
  • Knowledge of BizSafe certification processes and workplace safety requirements
  • Strong attention to detail and coordination skills
  • Demonstrates integrity, professionalism, and a strong sense of responsibility
  • Proactive and resourceful, with the ability to anticipate issues and take initiative
  • Able to work 3 days per week
