Job Description
Mastermark is a leading consultancy specialising in wildlife hazard management and environmental risk mitigation for airports, government agencies, and private-sector clients across Asia. We are seeking a reliable and detail-oriented Administrative Associate / Executive to support our growing regional operations.
The successful candidate may be appointed as an Administrative Associate or Administrative Executive, depending on their qualifications, relevant experience, and demonstrated capabilities.
This role is central to the smooth functioning of our consultancy. You will provide administrative and coordination support across our business development, consultancy, and management teams, ensuring efficient workflows, accurate documentation, and professional communication with internal and external stakeholders.
What You'll Do
Provide day-to-day administrative and clerical support to ensure the smooth functioning of the office and operations.
Coordinate schedules, meetings, and internal communications across teams, including preparing agendas and recording action items where required.
Prepare and format routine documents, including internal reports, standard templates, correspondence, and basic presentations.
Maintain organised filing systems for administrative records, contracts, and project documentation in accordance with company procedures.
Update internal databases and tracking logs accurately, ensuring that information remains current and properly archived.
Act as a point of contact for general administrative enquiries and facilitate the flow of information between departments.
Support office management activities, including procurement coordination, records management, and other administrative duties as assigned.
Depending on experience, take greater ownership of administrative processes, coordinate more complex assignments, and support process improvements across the organisation.
What We're Looking For
Minimum ITE Higher Nitec or equivalent qualification.
Fresh graduates are welcome to apply and may be considered for the Administrative Associate position.
Candidates with relevant administrative or coordination experience may be considered for the Administrative Executive position.
Strong organisational skills and the ability to manage multiple administrative tasks efficiently.
Clear written and verbal communication skills for internal coordination and documentation.
Detail-oriented, dependable, and able to follow established processes independently.
Proficient in Microsoft Office and common workplace collaboration tools.
Prior administrative or office support experience is advantageous but not mandatory.
