As an Administrative and Team Support professional, you will be responsible for providing high-level operational and administrative support to a lead and a department. You should be highly organized, an excellent problem-solver, and able to build relationships with both internal and external stakeholders.

  • Administrative Support: Manage complex global calendars, schedule time-sensitive meetings, handle travel arrangements, complete expense reports, and maintain files and records.
  • Communication & Correspondence: Handle and respond to confidential correspondence, and create or edit email responses as needed.
  • Meeting & Event Coordination: Proactively coordinate both internal and external team meetings, conferences, and events, including logistics and onsite support.
  • Office & Guest Management: Manage purchase orders and ensure a steady supply of office materials for employees. You will also coordinate visits for external guests and manage all necessary logistics.
  • Project Management: Take on and manage various special or ad hoc projects as assigned.
  • Independent Work: Work well in a self-directed environment with minimal instruction and take accountability for your decisions and outcomes. You should be able to identify urgent issues and resolve them immediately.

skills and experiences required

To succeed in this role, you must have at least two years of previous administrative experience supporting executives. The ideal candidate is independent, proactive, and self-motivated with strong organizational, interpersonal, and communication skills (both written and verbal). You should have a positive attitude, be results-oriented, and be able to work under pressure. A high level of professionalism, good judgment, and attention to detail are also crucial. Proficiency in Microsoft Office, including PowerPoint, Excel, Word, and Outlook is necessary. Experience working for a matrix-structured company and handling multi-layered communication is preferred.
