Job Summary

Support office operations and team activities by preparing reports, managing communications, organizing events, and maintaining accurate records to ensure smooth administrative functions.

Responsibilities

  • Prepare and submit reports to clients accurately and on time
  • Enter data as required to support project and office needs
  • Provide project support by assisting with administrative tasks and documentation
  • Assist in applying for government schemes and grants by preparing necessary documents
  • Manage daily office operations including coordinating renovations, maintenance, pantry supplies, office supplies, employee uniforms, and name-card printing
  • Support team members by assisting in presentations, preparing reports, and completing ad hoc administrative tasks
  • Facilitate internal communication by distributing memos, managing emails, and ensuring information reaches relevant stakeholders promptly
  • Schedule and make appointments and bookings as needed
  • Organize company-wide staff well-being initiatives and events to promote employee engagement
  • Maintain and organize physical and digital documents, files, and records while ensuring confidentiality and accuracy of sensitive information
  • Update administrative Standard Operating Procedures (SOPs) regularly to reflect current practices
  • Respond promptly and professionally to client email and telephone inquiries
  • Perform any other ad hoc duties as required to support office functions

Preferred competencies and qualifications

  • Experience in an administrative role is a plus but not required
  • Proficiency in office management software and MS Office Suite (Word, Excel, PowerPoint)
  • Ability to work collaboratively as a team player
  • Positive and vibrant personality
  • Resourceful with strong organizational and multitasking skills
  • Responsible, meticulous, passionate, with good communication and excellent time management skills
  • Open to candidates switching career paths
