Job Description

The Administrative Assistant (AA) oversees the administrative andsupport functions of the Nursing Service, facilities nursing trainingprogrammes and maintains staff database records.

Administrative Activities

  • Arranges meetings, and other nursing department activities. Records minutes of meetings.
  • Organizes and maintains proper filing system of related correspondences, monthly ward performance indicators and circulars, monthly report of headcount, Nursing Director's activities calendar and any other reports.
  • Keeps inventory of stationery items and place requisite for supply and replenishment.
  • Handles incoming and outgoing mails, sort out mails/documents, and dispatches documents to the ward and other departments.
  • Receives deliveries from vendors, MMD and other sources for Nursing Service, and wards.

Staff Training Activities

  • Booking of training room for nursing training programmes.
  • Send reminder to Nurse Managers on training dates, time and location.
  • Prepares refreshment, logistic requirement, course materials, and required training equipment and tools for each training session.
  • Maintains and updates the nurses Continuing Education training attendance in SNB register.
  • Collates course nominations and registration for ad hoc and external courses.

General

  • Maintains knowledge of current trends and advances in Microsoft Office programmes. Utilizes knowledge and assist to prepare charts for training and presentation if required.
  • Participates in continuous quality improvement activities and/or projects at department / hospital level.
  • Performs any other duties as assigned by Supervisor.

Requirements

  • GCE N Level or ITE in Office Skills
  • Preferably has experience in health care setting
  • Proficient in Microsoft Words, Excel and PowerPoint & Outlook.
  • Demonstrates good inter-personal skills and communicates effectively.
