About the role
We are seeking a dedicated and organised Administrative Assistant to join our team on a full-time basis in the Tampines North East Region. This is a pivotal support role that ensures the smooth and efficient operation of our office environment. As an Administrative Assistant, you will be the backbone of our administrative functions, providing essential support to various departments and helping to maintain the high standards of professionalism that define us. This role offers the opportunity to develop your administrative expertise whilst making a tangible contribution to our business operations.
Key responsibilities
Managing office administration tasks including scheduling appointments, maintaining calendars, and coordinating meetings for staff and management
Preparing and maintaining accurate documentation, including letters, reports, spreadsheets and presentations
Handling incoming and outgoing correspondence, emails and telephone enquiries in a professional manner
Organising and maintaining filing systems, both physical and digital, ensuring information is easily retrievable and properly archived
Providing reception support, greeting visitors and clients, and ensuring a welcoming environment
Processing invoices, purchase orders and expense reports with accuracy and attention to detail
Coordinating office supplies ordering and inventory management to ensure smooth operational continuity
Supporting the scheduling and logistics for company events, meetings and other organisational activities
Maintaining confidentiality and handling sensitive information appropriately
Assisting with general administrative duties as required to support the wider team
Monitor rental payments made by customers daily
Follow up on outstanding payment rentals.
What we're looking for
Proven experience working in an administrative or office support role, with at least 1-2 years of relevant experience in a similar position
Strong organisational and time management skills with the ability to prioritise multiple tasks and meet deadlines
Excellent written and verbal communication skills in English, with the ability to communicate professionally with colleagues and external contacts
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software
Attention to detail and a commitment to accuracy in all administrative work
Ability to work independently as well as collaboratively within a team environment
Professional demeanour and discretion when handling confidential information
Flexibility and adaptability in a dynamic work environment
Familiarity with the automotive industry or commercial business operations is advantageous
