Job Description

Nanyang Academy of Fine Arts (NAFA), University of the Arts Singapore, an esteemed arts institution with a global reputation seeks an administratively strong Administrative Assistant at the Junior Art, School of Young Talents (JA).

Founded in 1976, our Junior Art Department has grown from less than 100 students, to over 3,000 today, with courses for children of all ages. Our courses are designed to allow young talents to enjoy an enriching curriculum that inculcates independence and encourages them to explore the visual arts. In the process, they will develop their artistic skills, aesthetic sensibilities, and overall confidence to create and express themselves.

Main Roles and Responsibilities

The role involves overseeing student registration processes and maintaining accurate student records. You will be responsible for coordinating the registration exercise for siblings of current students and ensuring smooth enrolment procedures.

This includes handling data entry tasks, such as updating student particulars and processing applications for vacation programmes and regular courses. You will also manage email and phone enquiries, providing timely and accurate responses to parents and students.

A key part of the role includes tracking and following up on fee payments through phone calls, generating aging reports, and ensuring overdue payments are settled. Additionally, you will coordinate vacation programme schedules and assist with various administrative tasks as needed.

Requirements & Qualifications

  • You should possess a minimum GCE O Level qualification and demonstrate strong administrative skills with a keen eye for detail.
  • Proficiency in Microsoft Office applications is required, as you will be handling data entry, generating reports, and managing communications. Your adaptability to digital tools will support smooth workflow processes.
  • As a team player, you should have excellent organisational and interpersonal skills, enabling you to collaborate effectively with colleagues and stakeholders. Strong time management abilities will help ensure that tasks are completed accurately and on schedule.
  • Your ability to manage data entry, maintain accurate records, and handle documentation efficiently will be essential in this role.
  • You must demonstrate confidentiality in their work and be flexible to support events during evenings and weekends when required.
