Job description
- We are recruiting on behalf of a client for an admin assistant to provide administrative support to senior management in a newly established company.
- This is an office-facing, full-time role that combines reception duties, document drafting, project coordination and basic financial administration.
- The successful candidate will be discreet, highly organised, bilingual (Chinese and English) and comfortable providing occasional personal assistance to management and performing light outdoor tasks when required.

Responsibilities
- Business reception greet visitors professionally, manage incoming calls and maintain a polished corporate image.
- Administrative coordination perform day-to-day administrative tasks; assist with basic translation (Chinese and English); prepare business correspondence, slide decks, meeting minutes and reports.
- Document writing draft formal documents including company profiles, business plans, proposals and project reports.
- Project assistance support government funding applications, organise and maintain project documentation, and track project progress and deadlines.
- Meetings & travel schedule and coordinate appointments, meetings and events; manage registrations and travel arrangements as needed.
- Financial support assist with basic financial tasks, conduct preliminary reviews of employee expense claims, organise invoices and follow up on payment documentation.
- Other duties perform ad-hoc administrative tasks as assigned; provide occasional personal assistance for management's personal and family matters; undertake some outdoor work when required.
Requirements
- Fluency in Mandarin and English is an absolute must, in order to liaise with Mandarin-speaking clients.
- Fluency in Cantonese is highly preferred, to liaise with HK clients.
- Only Singaporeans or Singapore PR holders will be considered for this role
- At least 3 years of relevant experience
- Diploma or Degree from a reputable institution
- Excellent time management and people skills
- Able to multi-task and work independently
- Extensive knowledge of Microsoft Office and proficiency in typing
